How we look after your information

What we hold, and why

When the fund helps someone, we record who they are, what was needed and what was given. We keep it so that we can help consistently over time, answer questions from the church about how the fund is used, and meet the record-keeping the Canada Revenue Agency asks of a registered charity.

Who can see it

Only people the church has given an account. Each account sees only what its role needs: the treasurer sees payments, not household details; safety notes are limited to coordinators and administrators. Every view and change is recorded against the person who made it.

Where it is kept

On a server in the European Union, with encrypted backups also held in the European Union. This means the information is stored outside Canada. It is encrypted before it leaves the server, and no third party is given access to it. We do not send it to any analytics, error-reporting or artificial-intelligence service.

How long we keep it

The retention schedule is being agreed by the church. Until it is, records are kept and nothing is deleted. When it is settled, this page will say exactly how long each kind of record is held.

Seeing what we hold about you

You can ask to see everything the fund holds about you, and to have anything inaccurate corrected. Ask anyone at the church office and they will pass it to the person responsible. We will not ask why.

If you are not happy

Tell the church office first. If that does not resolve it, you can complain to the Office of the Privacy Commissioner of Canada.
